Cancellations:
Please call the office if you are going to be late or unable to make your appointment. A 24 hour notice is preferred, although a 2 hour notice is the minimum time required. If you are running late to your appointment, please call the office as it may be necessary to reschedule.
We do have a no-show policy and after three documented no-shows, you may be dismissed from the practice. A “no-show” refers to a cancellation within 2 hours of the scheduled appointment time or a failure to arrive.
Since some appointments are made several months in advance, we send reminder texts and have staff make phone calls to confirm times and dates. If you feel you are not getting these reminder texts/calls, please notify a staff member.
Our goal is to provide excellent care to our patients within a timely manner, so keeping appointments is very important to our practice. However, we understand there may be emergencies or special circumstances, so please call and speak to the office manager.
Fees and Payment:
We accept most insurances. Please bring a copy of your insurance card with you to all appointments. Copayments will be collected at registration and are required at the time of service, so if someone other than a parent accompanies your child to an appointment, please make arrangements or call ahead to pay any copay or balance.
Statements are generated and mailed once a month. Payment is due promptly. If you have questions about billing or payment options, please call the office and speak to the office manager.
There are many different plans available today and we will ask at every appointment to verify insurance. These plans change frequently and it is your responsibility to let staff know if there is a new or secondary insurance for your child. It is also your responsibility to know the details about coverage of well and sick visits, immunizations, labs, referrals, etc. for your plan. If you have questions, you can call and speak to our billing department.
Telephone Calls:
For non-emergency issues or concerns, we request that you call during regular office hours. We have a triage nurse who can answer questions and offer advice about your child. If you have concerns or are not sure you should make an appointment, we advise you to call and speak to the triage nurse, who can determine if your child needs to be seen.
After office hours, we have an answering service that will direct calls to our on-call physician. Please use this service for calls concerning sick children or true emergencies. We recommend you have pen, paper and pharmacy information ready for when the doctor returns your call. Important information to have is your child’s temperature (and method taken), most recent weight, brief description of symptoms, long-term health conditions and any medications your child is taking. We try to respond to your message quickly, so if you have not heard from us within 30 minutes, please call again.
If it is a life-threatening emergency, please dial 911 or go to an emergency room.
New Parents:
We would be delighted to become your baby’s pediatrician. If this is your first baby, you may have lots of questions! Please call us to set up a complimentary prenatal visit to meet our physicians and become acquainted with our office. We will discuss infant care and what to expect within the first few days after delivery and also give you the opportunity to ask questions. Appointments should be made between 32 and 36 weeks of pregnancy.
